News for Eucharistic Ministers

 

Attached please find the December and January Schedules.

Volunteer sheets will be posted in the Sacristy for December 8 (Immaculate Conception), Christmas Eve and Day, and January 1. Please note that we will have a vigil Masses on both December 7th and December 31ST this year.

The Liturgy Workshop will be January 20, 2008. The agenda this year will include an In-Home Distributors Roundtable session from 3 to 4 pm in the undercroft. This session will include an exchange of ideas and concerns, and is open to all In-Home distributors as well as anyone interested in joining the group. There will be no in-church training at this meeting.

In-Home distributors should advise me of their availability for Easter by January 5, 2008.

August 15th is a Holy Day of Obligation. A sheet will be posted later in July in the Sacristy area for you to sign up on a first come first to serve basis, with two EMHC’s needed for 8:30 AM Mass and four for 7:30 PM Mass.

Don’t forget that rosters for EM’s and Lectors and weekly updated in-home lists on password side of the website. A new EM roster recently posted includes e-mail addresses.

December 8 (Immaculate Conception) is a Holy Day of Obligation. In addition, I will also ask for volunteers for Christmas Eve and Day (Sunday evening and Monday Morning). A form is now posted near the schedules and will be the only way to sign up for these Masses.

There is a Liturgy Workshop scheduled for January 21, 2007.

The website now includes a secure side with a password and username required for access. You may request your passwords through a special form on the website near the bottom of the schedule page. This allows you to download updated in-home schedules for each weekend, which is usually posted no later than noon on Friday of each week. It also permits posting of the roster as well.

 

Attached please find the October and November Schedules. Please note the return to Cup on the weekend of October 7 – 8.

November 1 (All Saints) is a Holy Day of Obligation. I have prescheduled the Masses this time.

I do not want to offend, but some of our summer attire has been less than appropriate for the office we hold. Now I know there is nothing that can be done if we volunteer during a Mass, but if we are scheduled, we can plan on the proper dress. For men, in order, is a suit; slacks, shirt, jacket and tie; slacks and long sleeved shirt and tie (at the least). A sweater may be considered as optional. No jeans, polo shirts, sport shirts or logo-bearing sportswear should be worn. For Ladies, in order, is a dress or pant suit; slacks and blouse; mid calf skirt (or lower) and blouse, again with a sweater as optional. If you see where help is needed during a Mass, please do not volunteer if you are wearing jeans, t-shirt or sneakers, as there are usually enough EMHC’s present who can fill in if needed. Thank you with your cooperation on this.

In-Home distributors should advise me of Holyday Plans for the Christmas Season by November 1, 2006.

If you are scheduled for Ash Wednesday, please see the priests before Mass, unless you have distributed ashes before. They will instruct on what to do.

There will be volunteer sign-up sheets for Holy Thursday and Easter Vigil posted at the end of February, both on the website and on the bulletin board near the Sacristy. I will schedule with preference to RCIA sponsors for Easter Vigil, and those who have not served at Holy Thursday the last couple of years. The final completed schedule will be posted on Palm Sunday.

Since Christmas falls on Sunday this year, I am asking for volunteers for all Masses and In-Home duties. A page has been posted on the website for you to volunteer, and a sign up sheet will be posted in the sacristy as well. This will be done on a first-come, first-served basis. Keep in mind that the Masses on Christmas Eve are usually at capacity and if you are new to the ministry you may want to wait until next year.

For the In-Home assignments, you may complete these on Saturday, Sunday or Monday over the Christmas weekend, and you will not be required to serve at Mass beforehand.

 

Attached please find the October - November 2005 Schedules.

We will return to distribution under both forms twice a month in October. Please take a moment and review the procedures for this. Remember that when distributing with both host and cup, you do not assist the priests in the main aisle, as there is simply not enough room. Everyone will be responsible for their sections only.

When there is only host distribution, when you do go to assist the priests in finishing their sections, note where to stand. You should be near the front of the pews in the main section, near the markers designated C3 and C4. When you stand off to the side this way there is less confusion as to where communicants should go.

March 2005

Attached please find the April and May schedules.

This month we will start distribution under both forms on the first and third Sunday of each month. While this has been a long time coming, I believe we now have sufficient numbers of Extraordinary Ministers to offer this twice a month. As usual, we will suspend distribution of the cup during the summer months.

On that same note, the Feast of Corpus Christi falls on the Memorial Day weekend (May 28-29). I will once again advertise on both the web and the bulletin board for volunteers to serve as cup distributors for this special day in the liturgical calendar. If I have enough distributors step offer to help, we will distribute under both forms this weekend.

We are working to develop place markers behind the altar so that everyone will know where to stand. In the interim, please note what position you are scheduled for and stand in the appropriate position (a good indicator is to count back 5 blocks from the altar, which is on a line just in front of the ambo).

In Home distributors (and In Home distributors ONLY) should forward their summer schedules to me by May 5. A new roster is also attached to this schedule.

 

January 2005
 

Attached please find the February and March Schedules.

I have posted a form on the website for volunteers for Holy Thursday and Easter Vigil. A sign up sheet will be posted the first weekend in February in the Sacristy as well. Assignments will be made at a later date, and a complete schedule will be posted once it has been finalized. If you volunteer, please remember that deference as always will be given to sponsors and family members of those entering the Church for the Easter Vigil liturgy.

The online handbook has been updated and is now posted on the website (www.stmmin.org) along with a revised diagram. Please feel free to review it as necessary. I will not publish a new paper handbook until everything is going smoothly and no additional changes will be needed.

Ash Wednesday and Easter Vigil requests should be made by January 5, 2005. Deference as always will be given to sponsors for Easter Vigil.

December 2004

On the reverse please find the December 2004 schedule.

This is a reminder for the Liturgy Workshop to be held Sunday, December 12 at 2 PM in the new church. There will be a brief discussion of the new procedures for distribution in the new church as well as the new General Instruction changes to take place (about 15-20 minutes), with training of new ministers to follow. There will be a make up session on Saturday, December 18 at 3:30 PM for those who cannot make it to the meeting on the 12th. Attendance at one of these meetings is required if you wish to continue distributing Holy Communion. If you are an in-home only distributor, your attendance is optional.

A sign up sheet will be posted the weekend of December 4-5 in the Sacristy for Christmas Mass volunteers. There will also be a page on the website for those who wish to volunteer that way as well.

The first Mass in the new church will be December 20. There will be no Extraordinary Ministers scheduled for this Mass, as there will be sufficient priests available.

 

September 2004

Attached please find the October - November 2004 schedule.

There will be a Liturgy Workshop on December 12, 2004 at 2 PM. Attendance at this workshop (or a weeknight makeup session to be scheduled later) will be required if you wish to continue to distribute during Mass. Distribution of the Eucharist in the new church will be discussed, among other subjects. If you are an in-home only distributor, your attendance is optional.

The first Mass in the new church will be December 20. There will be no Extraordinary Ministers scheduled for this Mass, as there will be sufficient priests available.

April - May 2004

On the back is the schedule for Holy Thursday and Easter Vigil. Please note that only seven Extraordinary Ministers are needed for Thursday and eight are needed for Saturday. There will be sufficient priests/deacons scheduled for these Masses.

Also, there will be a meeting for those scheduled for the Triduum Masses (Thursday and Saturday) on Palm Sunday shortly after the Noon Mass is completed.  We will go over distribution of the cup at this meeting.

The next schedule will run for the summer and I will need to know by the first of May the vacation schedules for IN HOME ministers for the months of June – September.

Again, I want to emphasize the changes I made at the workshop. When you receive your vessels, depart immediately for your positions for distribution, whether in the front or the back. And when finished, the H1 position is to bring the vessels back to the altar using the aisle near the choir.

March 2004

Here are the notes from the January Meeting for those who did not attend, and for those who did, please review to make sure we are all doing things the same way:

You are Extraordinary Ministers of the Eucharist – if there are a sufficient number of priests available, you are not to distribute. If you are scheduled, especially at a special event, you should count (and take into account priests and deacons in your count) to see if the priests require assistance.

When you receive your vessels, H 1 and 2 depart immediately for the back, H 3 and 4 should also leave right away for their stations. Generally speaking, it takes a few minutes for the people in the North section to make it up to the front, or in the case of 10 AM, the choir is waiting for someone to come over and distribute to them.

Check to make sure where the wheelchair bound are sitting and distribute accordingly. They have been just about everywhere, and you want to make certain they get a chance to receive. Especially watch out for those in places you’d least expect!

When done in the back of the Interim Worship space, Host 2 should hand the ciborium to Host 1 and then Host 1 will return via the side aisle, not the center (main) aisle. There is no sense waiting until the center aisle clears, and it is better to wait at the altar than in the back. That way the priests are not waiting on you!

Once again we will be using volunteers for Holy Thursday and Easter Vigil. If you are involved in RCIA or have relatives who are coming in to the church, you will be given priority. Please let me know as soon as possible so we may schedule you before we open it up to the rest of the group.

September 2003
 

I've decided to try something different this month and deliver your schedule via e-mail.  Since I know some of you do not use Adobe, I have attached the schedule in both .pdf and in an Excel file, so you can view as you wish.  Let me know what you think - I would appreciate the feedback.

While things went fairly well last weekend, there are still some areas we are working on, so there will be some adjustments made this coming weekend.  Someone will be available to help you with the changes.  If you attended the 8 AM , the 12 Noon and the 5 PM Sunday, these went smoothly and do not require any change.  The 5 PM Saturday, and especially the 10 AM Sunday will need some work with the bleachers.

I will be posting the schedule to the web later, just in case you do not receive the attachments.

You will notice that we have not returned to distribution under both forms in October.  As soon as we are confident with the new distribution process, we'll work on distribution of the cup.

May 2003

The new schedules have been posted.  These and all subsequent
schedules will be available in Adobe Acrobat format, which will  make
downloading and printing much easier.  A link has been provided to the
Adobe website, where you can download a copy of Adobe Acrobat Reader 5.0 for free!

Since the Feast of Corpus Christi falls on the weekend of June 21-22 which is not a regular cup weekend, we will once again be asking for volunteers.  A sign up sheet will be posted in the Sacristy in the coming weeks, and if we have a sufficient volunteers, we will distribute under both forms.

A new roster is now available, and will be attached to the paper schedule which will be out for distribution the weekend of May 17-18.  If you prefer, a version on Acrobat is also available, which can be e-mailed to you.  Please let me know  and I'll send you a copy.

March 2003

Holy Thursday and Easter Vigil are included on this schedule. If you will note, not all positions are required, so if you see gaps this is normal as there will be sufficient Ordinary Ministers to fill those positions. Remember, if there are Ordinary Ministers of the Eucharist (Bishops, Priests and Deacons) then Extraordinary Ministers are not needed, and should not serve even if they are scheduled. This is also applies to Confirmation and First Communion Liturgies as well. (Positions will drop in the following order: H3, H4, H2, C3, C4, C5, C6)

A new roster will be available with the next schedule, once I have had a chance to correct some of the e-mail addresses. If you have any changes in your information, please forward them to me as soon as possible.

In-home distributors only : please forward vacation information to me as soon as possible so I may avoid conflicts with the Summer schedule.

September, 2002

The October/November 2002 schedule has been posted to the website. Any requests for the Christmas season should be made prior to November 1, 2002. The Mass schedule remains the same as last year, and a volunteer list for Christmas will be posted sometime in December.

We return to distribution under both forms the first weekend of each month. Please review the procedures if you are scheduled prior to serving.

Once again I ask that we be mindful of our attire when distributing. I realize that if you are a sub coming forth at Mass is beyond your control, but if you are scheduled your manner and dress should reflect the position you hold. As cooler weather approaches, it is not unreasonable to expect jackets and ties, or dresses and pantsuits.

The annual Liturgy Workshop will be held Sunday, January 19, 2003 from 2 to 4 in the Church. If you have not attended in the past two years, you must be at this coming session to remain in the ministry, so mark your calendars now!

 

May 2002

IN HOME: A temporary re-alignment of some of the group assignments was necessary for the summer. Those directly affected received a call or e-mail the week of May 13 detailing the change. On the schedule, those from Group 3 temporarily assigned to Group 2 are designated "T2" on the schedule, and those assigned to Group 1 are designated "1/3" or "3/1", with your original group as the first number. A new list of assignments will be provided to all prior to the first weekend in June. Normal assignments will resume in October. If you have any questions or need assistance with directions, please feel free to give me a call at 475-3770 (days) or 323-3770 and I’ll try to help in whatever way I can. We appreciate your patience and understanding.

Once again, as we see a return to warm weather, please be mindful of your attire, as what you wear when you distribute in church reflects not only on you, but on your ministry as well.

The substitute billboard seems to be working well, but remember, if you get a substitute for yourself directly, please do not ask for one through the billboard.

January, 2002

The February/March schedule has been posted to the website. If you cannot make your assignment, please try to find a substitute first. If you cannot find a substitute, please e-mail me at pnieman@hjnieman.com  and I will broadcast a request for you.
New Eucharistic Ministers will be scheduled in April and May. An updated roster will be furnished at that time.

November 2001

This is a revised date - the original date was January 20. New Eucharistic Ministers will be trained during this workshop, and any existing Eucharistic Ministers who have not attended a workshop in the last two years are required to attend this workshop to remain on the roster. Please mark this date on the calendar - more information will follow.

The next schedule (February-March) includes Ash Wednesday. Anyone who wishes to serve this day please let me know by January 3, 2001. Please remember that Eucharistic Ministers will be assisting in the administration of ashes.

September 2001

Attached please find the October/November schedule. Please retain the roster published in May to refer to should you need to find a substitute. If you have difficulty finding a substitute, feel free to e-mail me and I will broadcast a request to the list. Please call only as a last resort if you cannot find a substitute.

I thank everyone for paying more attention to details this summer. There has been tremendous improvement. A few areas still need work (remember, come up to fill in at the Sign of Peace only, please) but we are doing great. We will work on any small items at the Ministry Workshop, to be held January 13, 2002 from 2 to 4 pm in the Church.

Any requests for the Holiday season should be forwarded to me before November 1, especially if you would like to serve at the late Christmas Eve Mass.

May, 2001

Attached please find the summer schedule and new roster. If your e-mail address is not correct or is not listed, please e-mail a correction. Only those listed on this roster are eligible to serve, so keep this in mind when looking for a substitute over the summer months.

A sign up sheet for Cup distributors will be posted in the Sacristy for the Feast of Corpus Christi. If you can, please volunteer so we may offer the cup on this important feast day.

Over the past few weeks there have been a number of lapses in procedures, including a few which could have resulted in spills. I have taken the liberty of attaching a copy of the notes from the meetings held earlier in the year, as all of the missed procedures were in fact covered at the meetings. PLEASE - it is extremely important that we execute our ministry in the most careful and spiritual manner, being mindful of what great responsibility we have to the priests and congregation to convey our reverence of this Sacrament. Take the time to review these notes and the handbook prior to the next time you are scheduled, particularly to the sections about when to come forward, when to leave for your positions, and what the responsibilities of your position is, especially if you come forward to fill in for someone who is missing. Let’s strive to make our service to the parish the very best it can be!

The Bereavement Series will be held in the Oval Room on Sunday, June 24 from 6:15 to 7:45 PM, Tuesday, June 26 and Thursday, June 28 from 7 to 8:30 PM. Scheduled for discussion is how to respond to questions on death and how to deal with grieving. This may be especially helpful for those who visit the sick at home. For more information, call Mary Thompson at the church office.

March, 2001

In home Eucharistic Ministers should forward their summer requests no later than May 1, 2001. The next schedule will run from June through September and any vacation information is needed to avoid conflicts or interruptions.

Also, the new In-Home rotation commences with this schedule. We have added a sixth group by splitting groups 2 and 4. Please make a note of this.

There will be a special series of Bereavement Workshops to be presented by the parish in June. While primarily for those in the Bereavement Ministry, the information presented may also be of help to those of you who visit the critically ill. Additional information will be posted in the next memo and on the website.

The roster will be finalized and printed in time for the summer schedule.

The new handbook has been published to the website, including the church distribution diagram.

IF YOU SEE WHERE YOU ARE SCHEDULED ON THE SAME WEEKEND WITH ANOTHER IN-HOME DISTRIBUTOR, PLEASE MAKE SURE YOU COORDINATE WITH THE OTHER MINISTER SO THAT WE MAY COMPLETE THIS TRAINING.

New Eucharistic Minister Procedures
Effective October 2-3, 1999

Procedure for In Home Dismissal at 8:00 A.M. Sunday Mass

Presiding priest will prepare tray for pyxes with cloth and leave on counter in Sacristy.

The first in-home minister to arrive will prepare and place their pyx on the tray and take it to the altar, placing the tray to the right side of the corporal.

The rest of the in-home ministers will prepare their own pyxes and place the on the tray on the altar.

After communion has been distributed and the vessels have been purified and removed, the presider will call forward the in-home ministers to take their position in front of the altar.

The presider shall take the tray along the line and invite each in-home minister to take his or her pyx from the tray. Once each minister has their pyx, the presider will pronounce the dismissal prayer and then dismiss them.

Mass continues as normal.

Procedure for distribution to the Choir.

An additional ciborium will be needed at the altar with a sufficient number of hosts for the choir.

One (or two when needed for cup) choir members as scheduled will come forward from the choir area and stand to the right of the other Eucharistic Ministers at the beginning of the Lord's Prayer. These ministers will use the additional ciborium and the chalice to distribute to the choir, and then return these vessels to the altar for purification when distribution to the choir is complete. They will then return their seats in the choir area.
